Summary: The Administrative Assistant is based in Tulsa, Oklahoma. Provides comprehensive support to Sales. Managing phone lines at the front desk, handling administrative tasks, calling retail prospects, and conducting in-person, site-based visits to retail locations.

Education/Experience:
High School Diploma/GED; or 1-3 years in administrative support, sales, or customer service, preferably in a B2B or retail environment.
Math Ability:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Essential Duties and Responsibilities:
- Answering, screening, and routing incoming calls, and taking detailed messages.
- Conduct, follow-up, and qualify leads via phone calls and emails, including new prospecting.
- Supports the sales team by managing leads and organizing data.
- Assisting with document preparation, such as contracts and proposals.
- Greeting visitors
- General clerical work such as filing, scanning, and photocopying.
- Prepares work by gathering and sorting documents.
- Prepares various reports for Sales.
- Other duties as assigned.
Qualifications:
The requirements listed below are representative of the knowledge, skill, and/or ability required. Excellent administrative and verbal communication skills.
- Valid Driver’s license and the ability to travel to retail sites
- Proficiency in MS Office Suite, specifically Excel for spreadsheets and reporting.
- Exceptional organization and time management skills.
- Strong verbal and written communication skills for professional phone etiquette and email correspondence.
- Familiarity with BRM and CRM practices
- Ability to handle multiple priorities
